What Size Walk-In Cooler Do I Need?

Most small restaurants end up with a walk-in cooler between 8x10 and 10x12. But footprint is the wrong place to start, and starting there is how businesses end up with a box that is either uncomfortably tight or expensive and half empty.
The right question is not how many square feet you want. It is how much you store, how often it gets delivered, and how much of that box you can actually reach.
Sizing is also the one decision on a walk-in project you cannot revise later. You can upgrade a refrigeration system, replace a door, or add shelving. You cannot make the box bigger.
Start With What You Store, Not With Square Feet

A walk-in is sized by volume of inventory, and inventory volume is driven by one factor more than any other: how often your deliveries arrive.
A restaurant taking produce three times a week needs meaningfully less cold storage than an identical restaurant taking one delivery a week, because the second one has to hold seven days of product at peak instead of two or three. Same menu, same covers, very different box.
Before you look at a single dimension, answer these:
How often do you take delivery, and of what?
What does your peak inventory day look like, not your average day?
What has to be refrigerated versus what can sit dry or frozen?
Do you have seasonal spikes? Catering, holidays, harvest.
What does your prep workflow need? Sheet pan racks and speed racks eat volume fast.
Peak day is the number that matters. A cooler sized for your average Tuesday will fail you the Thursday before a holiday weekend, and that is exactly when it costs you the most.
One thing worth checking while you inventory: how long each item can safely hold. Federal cold food storage guidance covers safe refrigerated holding times by food type, and items that turn over in three or four days do not need the same buffer as items that hold for weeks. Sizing for storage you will never use is a cost you carry forever.
Walk-In Cooler Size Chart
These figures assume a 7'6" interior clear height. Usable capacity accounts for aisle space, shelving depth, and the airflow clearance you have to leave around the evaporator and along the ceiling.

Notice that usable volume runs roughly 40 to 48 percent of gross volume. That is not a mistake and it is not waste. It is the aisle you have to walk down and the space air has to move through. Small boxes lose a higher share to the aisle, which is why very small walk-ins are less efficient per square foot than people expect.

How to Calculate the Cubic Feet You Actually Need
There are two ways to get to a number. Do both if you can, because they check each other.
Method 1: Count your cases
This is the more accurate approach and it takes about twenty minutes.
Walk your current storage on a peak day and count what is actually in there. Then convert to volume using rough averages:
Standard produce case: about 1 to 1.5 cubic feet
Milk crate: about 1.2 cubic feet
Full-size sheet pan on a rack: about 1 cubic foot per pan of usable volume
Standard 5 gallon bucket: about 1 cubic foot
Case of bottled or canned beverage: about 0.75 to 1 cubic foot
Add it up. Then add 25 to 30 percent for growth, for the days a delivery arrives before the old stock cleared, and for the fact that nothing stacks as neatly in reality as it does on paper.
That total is your usable cubic feet requirement. Find the row in the chart above that meets it.
Method 2: The per-meal rule of thumb
A rough planning figure used across foodservice is about 1 to 1.5 cubic feet of usable cold storage per meal served per day, covering cooler and freezer combined.
Treat this as a sanity check rather than a spec. It is useful for a fast ballpark and genuinely wrong for anyone whose menu skews unusual. A produce-heavy vegetarian restaurant and a steakhouse doing the same covers have very different storage profiles.
A worked example
A 60-seat restaurant serving roughly 120 covers a day, taking produce deliveries twice a week and protein once a week.
Rule of thumb check: 120 covers x 1.25 cu ft = about 150 cubic feet of total cold storage. Split roughly two thirds cooler and one third freezer, and you get about 100 cubic feet of cooler and 50 of freezer.
Case count check: on a peak day they hold 45 produce cases, 12 milk crates, 20 cases of beverage, and 3 speed racks of prep. That runs to roughly 120 to 140 cubic feet before any buffer. Add 25 percent and you land at 150 to 175.
The two methods disagree, and the case count is higher. Trust the case count, because it reflects their actual delivery schedule and the rule of thumb does not.
Result: they need roughly 150 to 175 usable cubic feet of cooler. That makes a 6x8 tight but workable and an 8x8 the sensible choice with room to breathe. Given that the price gap between those two sizes is small and the regret of undersizing is large, 8x8 is the right call.
Notice how much of that decision came from the delivery schedule rather than the seat count. That is the point.
Do Not Forget Aisle and Door Clearance

This is where sizing goes wrong most often. People calculate what they need to store, buy a box with that much gross volume, and then discover they cannot get to half of it.
You need an aisle. Minimum 30 inches, and 36 inches if anyone is carrying a case with both hands or moving a cart through. In a 6 foot wide box with 24 inch shelving on both sides, you have 24 inches of aisle left. That is not enough, which is why narrow walk-ins usually end up with shelving on one side only.
Shelving has depth. Standard walk-in shelving comes in 18, 21, and 24 inch depths. Every inch of that is depth you do not walk in.
The door swings. An inward-opening door needs clearance, and that clearance cannot have a shelf in it.
Air has to move. You need clearance around the evaporator and generally along the ceiling. Stack product to the ceiling and you block the airflow that keeps the far corner of the box cold. This is one of the most common causes of a walk-in that runs warm when there is nothing actually wrong with the equipment, and over time restricted airflow contributes to ice buildup on the evaporator as well.
Nothing sits on the floor. The FDA Food Code requires food to be stored above the floor, and most jurisdictions enforce six inches of clearance. Your bottom shelf is not the floor. Run the layout on paper before you commit to dimensions. A 10x10 laid out well holds more usable product than a 10x12 laid out badly.
Walk-In Freezer Sizing Is Different
If you are buying both, your freezer will almost always be smaller than your cooler. A common split for a restaurant is a freezer somewhere between one third and one half the size of the cooler.
Frozen product turns over more slowly and arrives less frequently, so you are holding fewer distinct items in larger quantities. Frozen also stacks better than fresh, because you are not maintaining airflow around delicate produce in the same way.

Temperature drives some of this too. A cooler holds product in the mid 30s while a freezer holds at 0°F or below, and those are different jobs with different equipment behind them. Our guide to what temperature a walk-in cooler should be covers where the line sits and why it matters.
Ceiling Height and Vertical Storage
Standard walk-in heights are typically 7'6", 8'6", and 9'6" nominal, with interior clear height running a few inches less once you account for the floor and ceiling assembly.
Going taller gets you more gross volume for the same floor footprint, which sounds like free capacity. It is not quite free.
Arguments for going taller: floor space is expensive, especially in leased commercial space. If you can go up instead of out, you often should.
Arguments against: anything above about six feet is awkward to reach, which turns it into long-term storage rather than working storage. You also add refrigeration load, because there is more air volume to cool and more panel surface losing heat.
There is a code constraint as well. If your building is sprinklered, NFPA 13 requires a minimum of 18 inches of clearance between the sprinkler deflector and the top of stored materials.
OSHA has addressed this requirement directly, and it is one of the more common findings on fire inspections. A taller box that puts product into that clearance zone creates a problem you will have to solve later.
The practical answer for most restaurants is that a standard height box with well-planned shelving beats a tall box with product nobody can reach.
Should You Size Up for Growth?
Some, yes. A lot, no.
Sizing up has a real, permanent cost. A cooler you oversized by 30 percent costs you more in energy every month for its entire fifteen to twenty year life. It is not a one-time premium, it is a recurring bill.
That cost is significant enough that the federal government regulates it. The Department of Energy sets energy conservation standards for walk-in coolers and freezers precisely because walk-ins run continuously and represent a large share of commercial energy use. Every cubic foot you add is cooled twenty-four hours a day for two decades.
There is also a performance argument. An oversized box with a system matched to it will hold temperature fine. But businesses frequently oversize the box and then economize on the refrigeration system, and an undersized system in an oversized box struggles exactly when you need it most. The reasonable middle ground:
Build in 20 to 30 percent headroom over your current peak day. That covers normal growth and the bad weeks.
Do not size for a business you might have in five years. If you double, you will probably also be changing locations, changing your delivery schedule, or adding a second box.
If you are genuinely unsure, go one size up rather than two, and make sure the refrigeration system is sized correctly for the box you actually bought.
Cooler and Freezer Combo Units

A combo unit is a single box divided into a cooler section and a freezer section sharing a common wall.
Combos make sense when: floor space is tight, you have one good location and cannot fit two boxes, or you are working with a single utility and electrical run.
Two separate boxes make sense when: you have the space, you want the flexibility to service or replace one without affecting the other, or your cooler and freezer needs are likely to grow at different rates.
The honest tradeoff is that a combo is more space-efficient and usually cheaper to install than two boxes, but it couples two systems together. When you need to work on one side, you are working around the other.
Where the Box Goes Changes the Size You Can Buy
Sizing and placement are not separate decisions. An outdoor unit is not constrained by your doorways, your ceiling height, or your floor plan, which often means you can go larger than the same budget would buy indoors. An indoor unit has to physically fit through the access route in panel sections, and that route is frequently the real limit rather than the room itself.

What If You Only Need the Space Temporarily?
Not every capacity problem is a permanent one. If you are covering a seasonal spike, running a catering contract, working through a remodel, or waiting on a permanent install, renting is usually the better financial answer than buying a box you will not need in six months.
Break-even on a rental generally lands somewhere between 12 and 18 months of continuous use. Below that, a walk-in cooler rental costs less than owning. It is also worth knowing this before you oversize a permanent unit to cover a spike that happens twice a year.
Common Sizing Mistakes
Sizing from square footage instead of inventory. The most common error and the root of most of the others.
Sizing from an average day instead of a peak day. Your cooler has to work on the worst day, not the typical one.
Forgetting the aisle. Gross volume is not usable volume, and the difference is bigger than most people expect.
Ignoring delivery frequency. This single variable can change your required size by 40 percent or more.
Oversizing the box and undersizing the system. The most expensive combination available. You pay more upfront, more monthly, and you still fight temperature in the summer.
Not planning the shelving layout before buying. Decide where product goes before you decide how big the box is. It frequently changes the answer.
Forgetting how the box gets into the building. Panels have to travel through your doors and around your corners.
